Minutes of meeting held on Monday 21st November 2011 at 2.30pm

Present:Alison Tosh, Mel Lilley, Sarah Lowe, Kealy Saunders, Steph Waller, Kylie Sparkes, Kerry Brazier

Apologies: None given

Alison spoke to us about her ideas for the coming year and trying to get more parents/carers involved with fresh ideas for raising money. Alison has proposed to have meetings approximately every 5 weeks. She has also suggested having larger meetings in the reading rooms with refreshments and childcare provision, with an open invitation to all parents/carers. Alison is going to ask Amanda Nessbach, who is on the reading rooms committee, whether we can use it.

Alison has composed a letter which is going to go out to parents/carers informing them of the fundraising goals for this year, the PTA officers and members, and the date of the first coffee morning/meeting. Ms Trappitt is currently proof reading it. Alison will also send it out to all members to read via email.

Mel raised the point that she has had none of the finance paperwork, etc passed over to her. She feels unable to proceed with her new role as treasurer and prepare for the Christmas fayre. Alison said she will speak to Claire, the past treasurer, with regards to this.

Christmas Fayre:

Stalls:-

Nails – Clara, Mel’s daughter, is going to do this. Price 50p

Tattoo’s –Mel has ordered a new tattoo gun which she hopes will arrive before the fayre. She will then have tattoo’s suitable for boys and girls. Price 50p

Face painting – It was agreed that a face painting starter kit is to be purchased by the PTA for use at fayres,etc, from Ebay – Kealy to do this. Steph is going to have a practise with the kit before the day. Price £1.

Refreshments – Alison has spoken to Mr Hart about the possibility of using his room for the refreshments. He is happy for this to go ahead as long as the tables aren’t moved around too much, and all food and drink is consumed seated at the tables to minimise the amount of messon the carpet.

Kerry is going to purchase tea, coffee, etc. Mel to give her £30 from petty cash to do this. Kerry has suggested the use of proper cups which we all agreed was a good idea. Mugs/cups to be donated and Kerry will keep them for use at future events.

Mrs Hargreaves and Mrs Lucas are happy to help serve refreshments on the day. A couple of the year 6’s could walk around ringing a bell, in santa hats, promoting the refreshments.

Cakes to be priced on the day. 20p soft drinks,  50p hot drinks.

Santa’s grotto – Kylie has purchased the presents and already wrapped most of them. Mel gave her £80 from petty cash to do this.

Mr Endicott has agreed to be santa for us. He is going to come up at 2.45pm.  We need to source a santa outfit. Alison said she will ask Mrs Lambert if she knows of one we could borrow. It was suggested that a couple of the year 6’s could be the elves for santa’s grotto.

Alison is going to purchase the sacks for presents.

Human fruit machine – Michelle is going to sort out the items for the human fruit machine buckets. Price 30p a go. Win £1 if you get 3 of a kind.

Guess the weight of the cake – Price £1 a go. Alison is going to walk around the playground, in the morning, with a loud speaker, promoting the fayre and asking people if they want to guess the weight of the cake. It will be on display in the lobby.

£1 in a bucket – Claire to do. We need more stickers for this.

Jean Faulkner, Nina Morgan, Alexis Roper and Kylie are having stalls in the hall. There is also a lady from Castle Hedingham as well. The balloon man is going to be situated in the library.

Sarah to purchase raffle tickets.

Kelly/Acorns preschool have said they will donate any stuff left over from their fayre.

Kealy is going to do another flyer to go out with the newsletter at the end of the week, asking for donations.

All those helping to set up to meet up at school at 1.15 -1.30pm.

Other business 

Kerry and Alexis Roper have kindly offered to do a 10 mile sponsored run in February time.

A suggestion was made that if parents/carers couldn’t get along to support events that they could donate money, if they wished, at any time. Also that a poll could be sent out to get opinions from parents/carers about paying for their child’s swimming lessons, as this is something that other schools do. Alison to feed this idea back to Ms Trappitt.
